The Villages -- Facility Reservations

Club Rooms

The following rooms are available by reservation for use by Villages residents:

Cribari Auditorium
• Maximum room capacity is 224 for dinner, 400 if standing only and 250 if seated
• Villages Food & Beverage Dept. services only - NO outside caterers
   - exception: Board Recognized Organizations may have potlucks

Cribari Conference Room
• Maximum room capacity is 60 people
• Villages Food & Beverage Dept. services only - NO outside caterers
   -exception: Board Recognized Organizations may have coffee and cookies

Cribari Ladies Lounge
• Maximum room capacity is 48 people
• Villages Food & Beverage Dept. services and potlucks – NO outside caterers
• Twelve 42” square tables

Cribari Mens Lounge
• Maximum room capacity is 48 people
• Villages Food & Beverage Dept. services and potlucks – NO outside caterers
• Twelve 42” square tables

Cribari Club Room
• Maximum room capacity is 80 people
• Villages Food & Beverage Dept. services and potlucks are allowed
  – NO outside caterers

Montgomery Center
• Maximum room capacity is 50 people (key required)
• Food & Beverage Dept. services, potlucks and outside caterers
  (liability insurance required) are allowed
• Seven 42” square tables that make into 56" rounds

Foothill Center
• Maximum room capacity is 100 for dinner and 125 for meetings (key required)
• Food & Beverage Dept. services, potlucks and outside caterers
  (liability insurance required) are allowed
• Fourteen 42" square tables that make into 56" rounds

Vineyard Center
• Maximum room capacity is 70 people (key required)
• Food & Beverage Dept. services, potlucks and outside caterers
  (liability insurance required) are allowed
• Ten 42” square tables that make into 56" rounds

Gazebo Park A or B
• Maximum capacity is 80 in each section (10 tables per section)
• Food & Beverage Dept. services, potlucks, barbeques and outside caterers
  (liability insurance required) are allowed

NOTE: Potlucks are limited to the following areas: Vineyard Center, Montgomery Center, Foothill Center, Cribari Club Room and Gazebo Park. Board Recognized Organizations ONLY may have potlucks in the Auditorium and light refreshments (coffee, tea, punch, cookies) in the Conference Room. Potlucks in the Auditorium are defined as events where participants bring their own food and there are no fees associated with the event. NO OUTSIDE CATERERS ARE ALLOWED IN CRIBARI CENTER. Outside Caterers must have proof of liability and workers compensation on file with The Villages naming THE VILLAGES AS CO-INSURED.

Definitions

1. Board of Directors - Priority over all other users for use of facilities

2. Committees - May reserve facilities through the Master Calendar process in advance and at other times when available.

3. Organizations - May reserve facilities through Master Calendar process in advance and at other times when available

4. Resident Events - May reserve facilities - November 1 for the following year.*

5. Outside Events - May reserve facilities - November 1 for the following year.**

*Resident events held during the high season of Thanksgiving through January 1 will be charged a refundable $100 facility reservation fee in addition to any customary use fee. The facility reservation deposit will be refunded if the reservation is cancelled at least 45 days in advance of use.

Resident events require 20 or more participants to book facilities October 1 for the next calendar year. Events with fewer than 20 participants may book facilities 90 days in advance.

**Outside Events are required to use The Villages Clubhouse for their food and beverage needs. Outside events will be charged a refundable $100 facility reservation fee in addition to any customary use fee. The facility reservation deposit will be refunded if the reservation is cancelled at least 60 days in advance.

Liquor License
All ABC related issues for alcohol consumption, licensing and purchasing are overseen by the Clubhouse. Arrangements are made through the Community Activities office.
